1. Who we are
Aithical is an AI-powered technology, workforce, and digital transformation partner headquartered in Charlotte, North Carolina, United States. References to "we," "us," and "our" mean Aithical.
2. Information we collect
We collect information in three ways: when you give it to us directly, automatically when you use the site, and from third parties.
Information you give us
- Contact details when you submit a form, send us an email, or apply for a role (name, work email, role/title, company, message).
- Career application details (resume, work history, references, work authorization).
- Whether you agreed to hear from us about your project.
The website assistant
AI in recruiting. If you apply for a job, our candidate privacy notice explains how we use AI in hiring. A person makes every hiring decision.
The “Ask us” chat on this site is an automated assistant. It answers from text our team has approved and does not use your messages to train any AI model. If you use it, we save the conversation, the page you started on, and the website you came from (domain only). Email addresses, phone numbers and card numbers typed into the chat are masked before they are saved. If you choose to leave your details, we keep your name, work email, company, optional phone number, your answers to its questions, and the time you agreed to be contacted, and we email them to our team so someone can reply. The assistant uses no cookies; it keeps the conversation in your browser’s session storage until you close the tab. Conversations that don’t lead to a request are deleted after 90 days; requests and their conversation are kept for 24 months.
Brochure downloads
To download our brochures you give us your email address, and optionally your name and company. We keep these with the brochure you chose, the page you were on, the website you came from (domain only) and how many times you used the download link, and we email them to our team so we know who asked. We contact you about your project only if you tick the box that allows it, and you can ask us to stop at any time. Download links stop working after 24 hours. Requests are kept for 24 months.
Information collected automatically
- Server logs: IP address, browser type, the page requested, date and time, and the referring page. We use them to keep the site secure and working.
- A sign-in cookie, only if you sign in to the recruiting portal.
To learn which pages are useful, we count visits with Umami, open-source analytics that runs on our own server. It uses no cookies and records only the page, the referring site, the browser, the device type and the country, counted with an anonymous identifier rather than anything that identifies you. It respects your browser’s Do Not Track setting. We do not use advertising or social-media tracking tools on this website.
Information from third parties
- Public sources such as professional networking sites for outreach.
- Service providers we use for hosting and email, and, only with your consent, background screening.
3. How we use information
We use information to operate, maintain, and improve our website, communicate with you, evaluate candidates, deliver services, prevent abuse, comply with legal obligations, and develop new products. We do not sell personal information.
4. When we share information
- With trusted service providers under contract (hosting, email and, with your consent, background screening).
- When required by law, regulation, court order, or government request.
- In connection with a merger, financing, or sale of assets, subject to confidentiality obligations.
- With your explicit consent.
5. Cookies and tracking
We use only what the site needs to work: a sign-in cookie for the portal and a few browser-storage settings. There are no analytics or advertising cookies, so there is no cookie banner. Details are in our Cookie Policy.
6. Your rights
Depending on your location, you may have rights to access, correct, delete, port, or restrict processing of your personal information, and to object to certain uses. If you apply for a role, our Candidate Privacy Notice explains how we handle your application. Residents of California see our CCPA/CPRA Notice. Residents of the European Economic Area, the United Kingdom, and Switzerland see our GDPR Notice.
To exercise a right, email privacy@aithicalhub.io from the address associated with your data. We respond within the timeframes required by applicable law.
7. Data retention
We retain personal information only as long as necessary to deliver the services you requested, satisfy legal obligations, resolve disputes, and enforce agreements. Typical periods: contact-form messages 24 months; website assistant conversations 90 days, or 24 months if you leave your details; brochure requests 24 months; questions in the careers help window 90 days, and requests 12 months after they are closed; job applications as set out in our candidate privacy notice. We keep some records longer where the law requires it.
8. Security
We use administrative, technical, and physical safeguards designed to protect personal information. No system is perfectly secure, and we cannot guarantee absolute security. If we discover a breach affecting your information we will notify you and the appropriate authorities as required.
9. Children
Our website and services are not directed to children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us at privacy@aithicalhub.io.
10. Policy changes
We may update this policy. The effective date at the top reflects the latest revision. Material changes will be communicated through the website or by email where appropriate.
